Apostilles for School Documents, Diplomas & Transcripts
One of the most common requests we receive at Texas Apostille Service comes from students and parents preparing to attend school in another country.
Diplomas, transcripts, and other school records may need an apostille before they can be accepted abroad. However, these documents must be prepared correctly before the Texas Secretary of State can issue an apostille.
There are two common ways to prepare a diploma, transcript, or other school record for an apostille in Texas.
Option 1: Have a School Official Notarize the Document
The first option is to have an authorized school official certify the document.
The school official makes a statement confirming the diploma, transcript, or school record. The official then signs the statement in front of a notary public.
The signature must be properly notarized. Once the document has been prepared and notarized correctly, it can be submitted to the Texas Secretary of State for an apostille.
Texas Apostille Service can hand-deliver properly prepared documents to the Texas Secretary of State in Austin. We can also assist with expedited processing.
Option 2: Use a Notarized Statement With a Copy
The second option may be useful when getting a notarized certification from the school is difficult or not practical.
In this case, the student—or a parent when appropriate—can make a copy of the diploma, transcript, or other school record.
The individual then signs a statement declaring that the attached copy is a true and correct copy of the original document. The statement is signed in front of a notary public.
The notarized statement and the copy of the school document can then be submitted together for an apostille from the Texas Secretary of State.
Important: Use a Copy of the School Document
This method should be completed using a copy, not the original school document.
The person signing the statement is confirming that the copy is a true and correct copy of the original. The signer is not claiming that the copy itself is the original document.
Not Sure Which Method to Use?
Requirements can vary depending on the type of document and the country where it will be used.
Before preparing your documents, check with the receiving school, university, government agency, embassy, or other organization. Ask them exactly what they require.
Using the wrong preparation method can cause delays. It may also result in rejected documents or the need to obtain a new notarization.
Texas Apostille Service can review your situation and explain the available options. We can help you determine how to prepare your Texas diploma, transcript, or other school records before submitting them for an apostille.
